Gym staff attendance and salary management: trainers, front desk and cleaners
By Himanshu Thakur, Founder, Jimwala · Updated · 4 min read
In a small gym, staff attendance is usually a page in a register the owner checks at month end. Missed days get argued over and salaries take an evening to add up. You do not need a fingerprint machine to fix it. A clock-in from the staff member's own phone is enough.
What to record
When each person arrived and left. Days present and total hours for the month. Missed or forgotten clock-ins, with a reason. And the salary you agreed with each person.
Forgotten clock-ins
People forget. The fix is a request: the staff member says which day and what times they worked, and the owner approves or declines with a note. That keeps the record honest without a row.
A shift left open overnight should not turn into 16 hours of pay. Close it without counting hours and ask for the real times.
Salary is private
Managers need to see hours. Only the owner should see and set salaries.
Salaries belong in expenses
If salaries are missing from your expenses, your profit figure is wrong, and salaries are usually the biggest cost. Add them once a month, and make sure doing it twice does not add them twice.
In Jimwala
Staff tap Clock in on their phone and a live timer runs, kept by the server so a wrong phone clock changes nothing. Each person sees their own days and hours. Missed days are requested by staff and approved by the owner. The owner adds the month's salaries to expenses in one tap. Jimwala records salaries but does not pay them.
