Gym billing software in India: receipts, invoices, part payments and dues

By Himanshu Thakur, Founder, Jimwala · Updated · 7 min read

Billing in a gym is rarely simple. One member pays cash, another pays half now and half next week, a third wants a GST invoice for the company. A register can hold this for a while and then it breaks. Software should take these cases in its stride, and the way to find out is to test it with awkward ones.

The jobs

  • Record a payment by cash, UPI, card or bank transfer.
  • Take part payments and show the balance.
  • Give every payment a numbered receipt the member can keep.
  • Issue a GST tax invoice when the gym is registered, and a plain receipt when it is not.
  • Keep a clear list of who owes how much, and since when.
  • Add one-off charges like a personal training pack or a locker.
  • Give correct month-end totals for collections, refunds and expenses.

Receipt or invoice

A receipt says "we received this money". A tax invoice is a formal GST document with your GSTIN and the tax split out. If your gym is not registered, you cannot charge GST, so a clean fee receipt is the right document. If you are registered, every membership needs a proper invoice. Confirm which applies with your accountant. Our GST guide explains the basics.

Five cases to test with

  • Riya joins on the 3rd for ₹3,000 for three months, pays ₹1,000 in cash and promises the rest on the 15th. The invoice should stay open at ₹2,000, the receipt should show ₹1,000, and on the 10th she should appear on Dues with the exact balance.
  • Amit renews a ₹1,200 monthly plan on UPI and sends a screenshot. You should be able to record it as UPI with the reference in half a minute, and his receipt should reach him straight away.
  • A company wants GST invoices for four employees. If you are registered, each needs your GSTIN, a running number and the CGST and SGST split. If not, you give plain receipts with no GST.
  • Sunita pays ₹500 for a personal training pack, separate from her membership. It should be its own line so reports show membership and training income apart.
  • A member is charged twice by mistake. The wrong invoice should be cancelled and keep its number, not deleted, so your series has no gaps for the accountant to ask about.

Dues you can act on

A dues list helps only if it is current and easy to act on: sorted by amount and age, with a one-tap WhatsApp message that already has the amount and a payment link in it. The reminder should ask only for what is still left.

Refunds, freezes, plan changes

Real gyms refund, freeze and upgrade. A refund should be a recorded entry with an amount, method and date, so collections show what you actually kept. A freeze should move the end date without a new charge. A mid-plan change should show what the member has paid and what the difference is, so you are not working it out on a calculator in front of them. Write your refund and freeze rules once and print them on the joining form.

What the accountant wants at month end

  • Collections split by cash, UPI, card and bank, matching your bank statement and cash drawer.
  • Invoices issued, in order, and any cancelled.
  • Refunds and discounts, with reasons.
  • Pending dues at month end, so unpaid fees are not mistaken for income.
  • Expenses: rent, electricity, salaries, repairs.
  • A spreadsheet export, in case they prefer their own tools.

Where billing gets messy

  • Keeping it in two places: cash in a notebook, UPI in a phone. Nobody knows the total.
  • Editing old bills. Cancel and reissue instead.
  • Recording the amount but not the method. When the drawer is short, the method is how you find out why.
  • Treating a part payment as a full one.
  • Skipping the UPI reference.
  • Having one person hold all the records.

What Jimwala does

Every membership, pack and one-off charge becomes a numbered invoice. Payments by cash, UPI, card or bank, including part payments, get a receipt each. GST tax invoices appear when you add a GSTIN, plain receipts when you do not. The Dues page has one-tap WhatsApp reminders and UPI links with the amount filled in. Refunds, expenses and exports are there too. Members pay your own UPI ID, so the money goes straight to you.
