Biometric vs QR attendance for gyms in India: which one should you use?
By Himanshu Thakur, Founder, Jimwala · Updated · 5 min read
Sooner or later every owner who starts looking at gym software asks: do I need a fingerprint or face machine at the door? It depends on how big your gym is and which problem you are actually trying to solve. Be clear on that first.
Which problem is it?
- Expired members training for free because nobody checked at the desk.
- A member lending their card or number to a friend.
- No record of how often anyone trains, so you cannot see who is about to leave.
- Staff attendance and salary disputes.
Biometric: strengths and costs
A machine identifies the person, not a card, so lending is hard. That is its real strength. For a large gym with a busy door, it can make sense. The costs are real too:
- Money up front, and two entrances need two machines.
- Dry, sweaty or cut fingers cause read errors, and errors make queues at peak hours.
- They need power and network, and someone to fix them when they hang.
- Biometric data is sensitive. You become responsible for storing it and deleting it when a member leaves.
- Many keep their own member list that you must match with your billing records.
QR: strengths and costs
Every member has a QR on a printed card or their phone. The desk scans it with a USB or Bluetooth scanner, or the member scans a poster at the entrance with their own phone camera.
- No special machine.
- The check-in is tied to the member's plan, so an expired membership is flagged on the spot.
- Nothing sensitive to store, and a lost card can be replaced so the old code dies.
- It also works for staff clocking in from their own phones.
- The weak point is lending. A card can be handed to a friend, so someone has to glance at the photo on the screen.
Which for which
- A few hundred members, one door, a desk staffed at busy times: QR with a photo on screen is usually enough.
- A 24-hour or unstaffed gym where nobody watches the door: consider biometric, or a door lock tied to the member list.
- A real problem with lending: biometric, or add a photo check at the desk.
- Yoga, Zumba and CrossFit with fixed class times: the coach already sees every face, so QR or a booking list is enough.
What Jimwala does
QR check-in. Staff scan the card or search the name, and the screen shows a green tick or the reason for refusal: plan ended, or member left. Members can also check themselves in by scanning your entrance poster after signing in once with a WhatsApp code. Each member has a visit history, a streak and a 12-week calendar.
Jimwala does not connect to fingerprint or face machines. If a biometric door is essential for you, say so during the trial and decide with open eyes.
A way to decide
Ask how many free workouts you can afford to lose to lending, and compare it with the cost and upkeep of a machine. For most small and mid-size Indian gyms, a QR check-in that flags expired plans stops the biggest leak for almost nothing.
