Best gym management software in India (2026): how to pick one for your gym

Every "best gym software in India" list ranks the same products, and most of them are written by someone on the list. We make Jimwala, so we are not neutral and will not pretend to be. What we can do is give you a way to decide that works with any product, ours included, and say plainly who Jimwala suits and who it does not.
If you are still on a register or Excel, start with the earlier question: is it time to switch at all? We wrote about that separately.
Start with what hurts today
Before you open a single website, write down what is going wrong. For most gyms it is some mix of these: memberships expire and nobody notices, pending fees live in someone's head, member details sit in one phone, enquiries are never called back, and at month end nobody can say how much was really earned. If a feature does not fix one of those, it should not decide your choice.
Seven tests that settle it
- Does it work on your phone? Most owners run the gym from one. Open the product on yours and add a member. If the main screens fight you on a small screen, stop there.
- What does a year really cost? Add the plan, messages, payment fees, setup and GST, then compare twelve months at your real member count. The monthly figure on the website is one line of the bill.
- Who holds the money? Some products collect fees into their own account and pay you later. Others send members to your own UPI ID. Know which one you are signing up for.
- Do reminders run without you? WhatsApp renewal reminders before expiry, on the day and after are what earn the software back. Check they are automatic, and what they cost.
- Can you leave? Export your members and payments to a file, any day, without asking permission.
- Will your front desk use it? If the person at the desk finds it hard, the register comes back out. Let them try it and watch.
- Is there help in your language? WhatsApp or phone support, in Hindi if that is what you speak at the gym.
Red flags in a demo or a sales call
- No price on the website, and a salesperson who will only quote after a call
- A quote that leaves out GST, WhatsApp charges or setup, so the final bill is a surprise
- No free trial, or a trial that wants a card first
- A vague answer when you ask where your data is stored and whether you can export it
- A demo that only shows a desktop screen when you will live on a phone
- Pressure to pay for a year today for a "special" price
Where Jimwala is a good fit
- Small and mid-size gyms, fitness clubs, and yoga or CrossFit studios that run from a phone.
- Owners who want fees to go straight to their own UPI ID, with nothing held and no cut taken.
- Gyms that want WhatsApp reminders and receipts without paying per message. They are included in every plan.
- Owners moving off a register: you can import from Excel or from a photo of the paper register, and new members can join from a link or QR poster.
- A price you can read in one line: from ₹399 a month billed yearly, or ₹549 month to month on Starter. Every feature is in every plan. Plans differ only by member count.
Where it is not
- You need fingerprint or face-recognition door machines. Jimwala checks members in by QR and does not talk to those machines.
- You want automatic UPI AutoPay debits. Jimwala does not set up mandates. Members pay on UPI and you confirm.
- You run a large chain that needs custom integrations or deep accounting-package links.
If one of those is a must for you, another product is the better pick, and it is better to know that before a trial than after.
A trial week that tells the truth
Do not compare feature lists. Compare how each product handles your own gym. Do this with any product you shortlist.
- Day 1: add ten real members, including two who owe money and one who has expired.
- Day 2: take a payment on UPI and a part payment in cash, and look at the receipts.
- Day 3: set up the renewal reminder and read the exact message that reaches your WhatsApp.
- Day 4: give your front desk a login and have them check someone in and add a member without your help.
- Day 5: open the reports. Do they answer "how much did we collect, and who owes us?"
- Day 6: export your data. If you cannot, find out why before you pay.
- Day 7: write the real twelve-month cost for each product in a sheet and decide.
Jimwala gives 14 days free with no card, so you can run this on your own members first.
Asking your staff
Your front-desk person and trainers will use it more than you do. Ask what they dislike about the register: it is usually something simple, like "I can't find who owes money" or "I don't know who is coming at 7". Then give them the trial and ask which product made those jobs faster. Staff who helped choose the software keep using it after the first busy week.
If two products both pass
Pick the one that is cheaper for the whole year at your real member count, lets you export your data, and that your front desk found easier. A feature you will not touch in the first six months should not tip the decision. You can change later, as long as your data can come with you.
