How to choose gym management software in India: a buyer's checklist

Most gym owners in India start with a register or an Excel sheet. It works until the gym gets busy: an expiry is missed, a due is forgotten, the staff member who kept the register leaves. That is usually the moment people start looking for gym management software.
There are dozens of options, and they all say "complete gym solution". This checklist helps you compare them on what actually matters for an Indian gym.
Start with the problems you have today
Write down what hurts before you look at a single website. For most gyms it is one or more of these:
- Memberships expire and nobody follows up in time
- Pending fees are tracked in someone's memory
- Member details live in one person's phone or one register
- Enquiries from walk-ins and calls are never followed up
- You cannot tell at the end of the month how much you really earned
The features an Indian gym should look for
- Member records with photo, phone number and full plan history
- Automatic membership expiry alerts, on WhatsApp rather than only SMS or email
- Fee tracking that handles cash, UPI and part payments, with a clear list of pending dues
- Batch management for morning, evening, ladies-only and class timings
- Attendance with a QR card or another simple check-in that flags expired members
- Plan switching, freezing and rejoining without creating duplicate members
- Reports on collections, expenses and profit for any date range
- A simple website or enquiry page for your gym that shows your plans
- Staff logins with roles, so the front desk does not see your accounts
Look at the total cost, not the sticker price
Two products with the same monthly price can cost very different amounts by the end of the year. Ask about:
- Setup or onboarding fees
- Whether WhatsApp or SMS messages are included or billed on top
- Per-member or per-branch pricing that grows as you do
- Payment gateway charges on online collections
- Whether a monthly plan is much dearer than a yearly one
- What happens to your data if you stop paying
Compare the total for one full year with your real member count, not the headline price.
Check that you can get your data in and out
You should be able to import your existing members from Excel or CSV on day one, and to take your data with you if you leave. If a vendor makes either difficult, that tells you something.
Make sure it works on the devices you have
The owner will use a phone. The front desk may use a cheap tablet or an old PC. Software that needs a special machine, or works well only on a desktop, will not last in a busy gym. Open the product on your own phone during the trial and add a member.
Understand how WhatsApp messages are sent
WhatsApp is the channel Indian members actually read. Ask how messages are sent, how many are included, what a top-up costs, and whether members who opt out are respected. Also ask what happens to a message that fails to send: are you still charged?
Test it with real members before you pay
A good trial is short and honest. In one week you should be able to:
- Import or add 20 real members
- Record a payment and a part payment
- Send a reminder to yourself
- Check a member in and see what happens with an expired one
- Look at the reports and decide whether they answer your questions
If any of that is confusing on day one, it will be more confusing when your staff use it in a rush.
